Corporate Event Gifts in the UAE: T-Shirts, Caps and Totes Guide

How to plan branded T-shirts, caps and totes for UAE conferences, exhibitions and activations: quantities, size splits, branding methods and lead times.

By MISHAREN · · 9 min read

For most UAE conferences, exhibitions and brand activations, the event gifts that work hardest are a branded T-shirt, a cap and a tote bag: useful, wearable and visible after the show. Choose them by event type, work out quantities from your expected footfall rather than guessing, and match the branding method to the item and run size: screen print or DTF for T-shirts and totes, embroidery for caps. Allow time for artwork approval, branding and delivery to the venue, because that is where event orders usually slip.

Which giveaway suits which event

Event apparel does two different jobs, and mixing them up wastes budget. Crew wear is what your stand staff, promoters and volunteers wear so visitors can spot them. Giveaways go home with attendees. Crew wear must look sharp for four long days; giveaways must be wanted and worn again.

Event type Best-fit items Why it works When it doesn't
Conference or summit (registered delegates) Tote in the welcome pack, cap or premium tee for speakers Delegate numbers are known in advance, so sizing can be collected at registration Cheap tees in a delegate bag often go unworn by senior audiences
Exhibition stand (walk-up visitors) Caps and totes for broad giveaways, T-shirts for qualified leads Caps and totes have no sizing, so nothing is left over in the wrong size Handing tees to every passer-by burns stock by mid-morning on day one
Outdoor activation, fun run, family day Performance T-shirts, caps Light polyester handles heat and sweat; caps give real shade Heavy cotton tees are uncomfortable outdoors in the warmer months
Launch, gala or VIP hospitality Embroidered cap, heavyweight tee or hoodie in a gift box Fewer pieces, higher perceived value, kept for years Low-cost items at a premium event undercut the brand
Stand crew and promoters Polo shirts or uniform tees, matching caps Instantly identifiable, survives long shifts A giveaway-quality tee looks tired by day three

A simple rule: give everyone something with no size (cap or tote), and keep the sized items (T-shirts, hoodies) for people you have actually spoken to.

How many to order: a quantity planning method

This decides whether you run out on day one or ship 300 tees back to the office. Use your own numbers where you have them; the steps below give you a structure.

  1. Start with the audience you can reach, not the event total. Headline visitor numbers for big shows are in the hundreds of thousands, but your stand will see a small fraction. Use badge scans or lead counts from your last edition of the same show, or ask the organiser what comparable stands recorded.
  2. Split into tiers. Tier 1 is the broad giveaway (cap or tote) for anyone who stops. Tier 2 is a T-shirt or better for qualified conversations, demos or competition winners. Tier 3 is a small run of premium pieces for VIP meetings and speakers.
  3. Spread across days. Footfall is rarely even across show days, and final afternoons are often quieter, so allocate stock per day and hold back a reserve rather than putting everything out on the opening morning.
  4. Add a buffer. Around 5–10% extra covers damaged pieces, last-minute VIPs and crew who need a second shirt. Go higher on Tier 1, lower on premium items.
  5. Check minimums. Custom orders usually start from around 25 pieces per design, and unit prices fall as quantities rise. If your Tier 3 run is tiny, consider using the same design as Tier 2 on a better garment.

For a conference with a fixed delegate list, the maths is simpler: registered delegates, adjusted for your typical no-show rate, plus speakers, organisers and buffer.

Order crew wear separately

Count stand staff, promoters, hostesses and technicians, then give each person enough for the full show. For a four-day exhibition, two shirts per person is the practical minimum, so one can be laundered; three is safer if your crew also works build-up day.

Sizing splits for event T-shirts

Sizing is the hidden cost of event tees. Caps (adjustable) and totes need no size planning, which is one reason they dominate walk-up giveaways.

Best option: collect sizes. For conferences, add a T-shirt size field to the registration form and order to the data, plus buffer.

When you can't collect sizes, use a starting split and adjust for your audience. A common starting point for a mixed adult audience in unisex fit:

Size Share of order
S 10%
M 25%
L 30%
XL 20%
XXL 10%
3XL 5%

Treat this as a planning assumption, not data. Adjust it if your audience skews one way: a family day needs kids' sizes, a construction or energy show may need more XL and XXL, and a women-focused event may call for a fitted cut or more S and M. If you're unsure, order slightly more L and XL: people will wear a tee that's a little big, but not one that's too small.

Two more ways to cut risk:

  • Choose a relaxed or oversized unisex fit. It covers a wider range of body shapes, so a wrong guess matters less.
  • Pack and label by size. Cartons or polybags marked S to 3XL let stand staff hand out the right size quickly instead of unfolding shirts on the counter.

Branding methods by item

The right method depends on the item, how many colours your logo has, how many pieces you need, and how many different designs are in the order. For more detail on T-shirts, see our comparison of screen printing vs DTF.

Item Method Best for Watch out for
Cotton T-shirt Screen printing Larger runs, 1–3 spot colours, strong opacity Set-up per colour makes small runs expensive
Cotton or poly T-shirt DTF transfer Full-colour logos, sponsor panels, small or mixed runs Large solid areas feel heavier on the chest
Performance T-shirt DTF or sublimation Activations, runs, sports days Sublimation only works on light-coloured polyester
Cap Embroidery (flat or 3D puff) Premium, durable, readable from a distance Very fine text and tiny details don't stitch well
Trucker cap (mesh back) Embroidery or a printed or patch front Outdoor and younger audiences Print on structured fronts suits simple artwork
Cotton canvas tote Screen printing One or two colour logos at volume Full-colour designs push you to DTF or digital print
Non-woven tote Screen printing Lowest-cost bulk giveaways Lower perceived value; less likely to be reused

Practical artwork tips

  • One logo, one position, one colour is the fastest and cheapest combination on almost every item.
  • Dates and event names make a tee a souvenir but also make it worthless next year. Keep the event name off crew wear and anything you plan to reuse, and put dated artwork only on giveaways.
  • Send vector files (AI, EPS, PDF or SVG) with Pantone references. Low-resolution logos pulled from a website slow everything down.

Our custom printing page explains each print method, and caps are covered in more detail on the caps page.

Fabrics and weights for UAE events

Most UAE exhibitions take place in air-conditioned halls, while activations, runs and family days are often outdoors. Choose fabric for where the shirt will actually be worn.

  • Giveaway cotton T-shirts: around 160–180 GSM is a sensible balance of cost and feel. Lighter than this often looks see-through once printed and gets used as a sleep shirt or not at all.
  • Keepsake or premium tees: 200–240 GSM heavyweight cotton feels substantial and suits oversized cuts. Our custom T-shirts range covers cotton, heavyweight and performance options.
  • Outdoor activations: polyester or poly-blend performance tees dry quickly and stay lighter in the heat. Ideal for fun runs, beach events and sports days.
  • Caps: cotton twill for structured, premium caps; mesh-back trucker styles for ventilation outdoors.
  • Totes: cotton canvas feels like something worth keeping; non-woven polypropylene is cheaper but more often thrown away. A gusset and long handles (so the bag goes over the shoulder) make it far more useful for carrying brochures around a show.

Check the shirt colour against your logo colours before approving: a navy logo on a black tee disappears.

Lead times: plan backwards from show day

There is no single lead time for event apparel. It depends on whether the garments are already in stock in the UAE or have to be made, the branding method, quantity and how quickly artwork is approved. As general guidance:

  • Stock blanks branded locally are the fastest route. Common styles and colours in standard sizes can often be printed or embroidered within days to a couple of weeks, depending on quantity and how busy the season is.
  • Made-to-order garments (custom colours, your own fabric, woven neck labels, special cuts) are usually produced overseas and need several weeks for production plus freight and customs. That route suits events planned months ahead.

Work backwards through these stages:

  1. Brief and quote: items, quantities, sizes, logo files, delivery address and the date it must arrive.
  2. Artwork proof: a digital mock-up showing logo size and position. Get one decision-maker to approve it; waiting on several approvers is a common cause of delay.
  3. Pre-production sample (optional but worth it for large or premium runs): a physical branded piece to check colour and placement.
  4. Production and branding.
  5. Quality check, folding, size-labelling and packing.
  6. Delivery to your office or the venue, with a margin of a few working days before build-up begins.

The season is already under way. ADIPEC runs 2–5 November 2026 at ADNEC in Abu Dhabi, and Dubai Design Week runs 3–8 November at Dubai Design District. Big 5 Global follows at Dubai World Trade Centre on 23–26 November. GITEX Global has new dates for 2026: the GITEX Summit on 7 December at DWTC and the GITEX Expo on 8–11 December at Expo City Dubai. With UAE National Day on 2 December in between, printers get busy across the whole period. If your event is a week or two away, stick to stock garments and simple one-position branding.

Getting stock to the venue

  • Read the exhibitor manual. Major venues set delivery windows, loading-bay rules and contractor access for build-up. Find out whether your supplier can deliver to the hall or whether you collect from your office and hand-carry.
  • Plan for storage. Shell-scheme stands have little lockable space. Bring one day's stock each morning and keep the rest elsewhere.
  • Label every carton with the contents, size and quantity, plus the stand number if delivering to the venue.
  • Assemble kits in advance. If the tote holds a cap, a tee and brochures, packing it at the office is far quicker than doing it on the stand floor.

Event giveaway order checklist

  • Event name, venue, dates and build-up day
  • Delivery address, date and contact person
  • Items by tier: broad giveaway, qualified-lead item, VIP item, crew wear
  • Quantities per item, including a 5–10% buffer
  • Size split per T-shirt or polo style (collected or estimated)
  • Garment colour, fabric and GSM
  • Logo files in vector format with Pantone references
  • Branding method and position per item
  • Packing instructions: by size, by kit, carton labels
  • One named person to approve artwork

FAQs 5 questions

Questions about this topic.

Should we put the event date on giveaway T-shirts?

Only on pieces meant as one-off souvenirs. A date makes the shirt a keepsake for attendees, but it also means leftover stock can't be reused at next year's show. Keep dates off crew wear and anything you might reuse, and print a dated version only for giveaways.

Can one order cover both stand crew and attendee giveaways?

Yes, and it often saves time because artwork and logo files are shared. List them as separate lines, though: crew usually need a better garment such as a polo or heavier tee, while giveaways can be a lighter cotton or performance tee in a wider size range.

Are caps or T-shirts better for an exhibition stand giveaway?

For walk-up visitors, caps are usually the safer choice because adjustable caps fit almost everyone and you never have leftovers in the wrong size. Keep T-shirts for qualified leads, demo participants or competition winners, where the higher cost per piece is easier to justify.

What should we do with leftover event apparel?

Undated stock can go into staff welcome kits, future events or community and CSR activities. To avoid large leftovers in the first place, order sized items against registration data where possible and keep the buffer modest, around 5–10%.

Can different sponsors' logos go on one event T-shirt?

Yes. A back panel with several partner logos is common for conferences and runs. DTF transfers usually suit this best because every logo can be printed in full colour without separate screens for each colour, which keeps set-up costs down on mixed or smaller runs.
