Exhibition Staff Uniforms in Dubai: What to Order and When for 2027

What stand staff should wear at Dubai trade shows, how to match uniform colours to your booth, and when to order for Intersec and Gulfood 2027.

By MISHAREN · · 9 min read

For exhibition stand staff in Dubai, most exhibitors order a performance (dri-fit) or cotton-blend polo shirt for each staff member for each show day. The logo is embroidered on the left chest, and a larger print goes on the back so visitors can spot the team from across the aisle. Choose shirt colours that contrast with the stand's walls rather than copying them. For Q1 2027 shows, start the order this side of New Year: Gulfood 2027 runs 15–19 March at Dubai World Trade Centre and Dubai Exhibition Centre, Expo City, and anything needing a custom colour or overseas production needs about four months.

Most guides on this topic are supplier product lists or US trade-show tip sheets. This one covers what a UAE exhibitor actually needs: what each role should wear, how to match a brand colour, and when to order for Dubai's busy Q1 season.

What to order: a role-by-role kit

Sales leads, hosts, demonstrators and build crew need different things from their clothes, so plan the kit by role, not by headcount.

Role on the stand Recommended garment Branding Quantity per person (5-day show)
Sales and management Performance or pique polo, or a branded oxford shirt for formal sectors Embroidered left-chest logo, optional name 5 (one per day)
Hosts and greeters (often agency staff) Polo in brand colour or a contrast colour Chest logo plus large back print, such as the logo or "Ask me about…" 5, plus spares in common sizes
Demonstrators, chefs, baristas Polo or tee plus a branded apron; chef jackets where food is prepared Embroidered apron bib; small chest logo 3–5 tops, 2–3 aprons
Build-up and logistics crew Heavyweight cotton T-shirt Screen print or DTF, front and back 2–3
Evening receptions and VIP lounge Same polo, or a smarter shirt or layer Tonal embroidery 1–2

Some practical notes on the table:

  • One shirt per day is the safe number. Gulfood 2027 hours are 10:00 to 18:00 from 15 to 18 March and 10:00 to 17:00 on 19 March. Hotel laundry is not guaranteed, and a crumpled day-three shirt shows in every photo.
  • Order 5–10% extra in the middle sizes. Agency hosts are often confirmed late, and someone always arrives needing a different size.
  • Keep dates and show names off staff shirts. If the shirt only carries your brand, the same kit works for Intersec in January, Gulfood in March and your autumn shows. Save the show-specific designs for giveaways.
  • Halls are air-conditioned, sometimes very much so. Staff who are not moving can get cold. A branded layer such as a quarter-zip, softshell or lightweight hoodie is worth adding for back-of-stand staff and evening shifts.

Fabric: what works for long days in Dubai exhibition halls

The halls are cool, but staff are standing, talking and moving for eight hours or more. Many will also walk between halls, car parks and the metro. Gulfood 2027 is split across two venues, so some teams will also travel between DWTC and Expo City.

Fabric Typical weight Strengths Trade-offs
Polyester performance (dri-fit) polo 140–180 GSM Wicks sweat, dries fast, resists creasing, holds dark and bright colours well Can look shiny or "sporty"; cheaper grades pill and can hold odours
Cotton-poly blend pique polo 180–220 GSM Looks smart and feels soft, with fewer creases than pure cotton Shows sweat more than polyester; colours dull slowly with washing
100% cotton pique polo 200–240 GSM Classic look, comfortable in cool halls Shows sweat marks; creases in suitcases; bright colours fade fastest
Cotton T-shirt 180–220 GSM Cheap, easy to print, fine for build crew Too casual for most sales stands; necklines lose shape

For most stands, a mid-weight performance polo with a matte or cotton-feel face is the best balance. It photographs cleanly, still looks pressed on day five, and copes with the walk from the car park. If your sector expects a more formal look, such as finance, government or luxury goods, consider branded shirts for the sales team and polos only for hosts.

Colour-matching staff uniforms to your booth

This is where most exhibition uniforms go wrong.

Contrast with the stand, don't copy it

If your stand walls are your exact brand red and your staff wear the same red, they disappear into the backdrop. Visitors can't easily tell who is staff, and photos look flat. Better rules of thumb:

  • Neutral stand (white, light wood, grey): dress staff in the strongest brand colour. They become the colour on the stand.
  • Saturated stand in the brand colour: dress staff in a neutral (navy, charcoal, black or white) with the logo in the brand colour.
  • Dark stand: pick a light or bright shirt so faces and logos stay readable under spotlights.

Stock colour vs custom-dyed colour

  1. Stock garment colours. Ready-made blank polos come in a fixed palette. You choose the closest shade to your Pantone reference. This is the fastest and cheapest route, and it suits smaller teams. Expect "close", not "exact". A brand red might land slightly warmer or cooler.
  2. Custom-dyed fabric. For an exact match, the fabric is dyed to your Pantone reference. The mill usually produces lab dips (small dyed swatches) for you to approve before bulk dyeing. This needs higher minimum quantities and adds weeks to the timeline. It makes sense for large teams, or for brands that will reuse the uniform across a full season of shows.

The logo can be matched more precisely than the garment. Embroidery thread is chosen from thread colour charts against your Pantone reference. Screen-print inks can be mixed to a Pantone colour. DTF and other digital transfers print from colour files, so shades are close but can shift slightly. Either way, give your supplier Pantone references, not just a JPEG.

Check colours under stand lighting

Exhibition stands use bright LED spotlights, and the same fabric can look different under them than it does in an office. When the sample arrives, look at it next to a print of your stand graphics. If you can, do this under similar cool-white lighting. Photograph it on a phone too, because most people will see your team in photos and posts. Avoid fine stripes and very small checks, which can shimmer on camera.

Branding layout that works on a show floor

  • Left chest: an embroidered logo, typically 7–10 cm wide. This is the "corporate" mark that looks right in handshake photos.
  • Back: a large print, typically 25–30 cm wide, readable from several metres away. Visitors often see staff from behind while they talk to someone else. Screen printing suits larger runs, and DTF suits small runs and full-colour logos.
  • Sleeve: a good place for a distributor's, partner's or country-pavilion logo without cluttering the chest.
  • Names: embroidered names suit permanent staff who will wear the kit all year. They add a per-name step and need final spellings, so they work badly when agency hosts are confirmed late. Use printed or magnetic name badges for temporary staff. Our guide to name embroidery on uniforms covers letter heights and placement.
  • Languages: if your stand graphics are bilingual, consider an Arabic line on the back print as well. Get the Arabic typesetting checked by a native reader before approval.

When to order for the 2027 show season

Q1 is the busiest stretch of the Dubai exhibition calendar. On DWTC's own listings, Intersec Global runs 12–14 January 2027, Entertainment & Leisure MENA runs 18–20 January, and Gulfood runs 15–19 March.

Work backwards from the first day of build-up, not from opening day. Staff need their uniforms in hand for briefings and stand photos before the doors open.

Planning timeline for Gulfood 2027 (opens 15 March)

When What to do
Mid-November 2026 Decide on stock colour or custom colour. If custom-dyed or overseas production, request quotes and lab dips now
By mid-December 2026 Agree garments per role, quantities and branding positions. Send Pantone references and logo files (vector)
Early January 2027 Approve the digital mock-up and order physical samples. Collect the size list from permanent staff and the agency
Late January 2027 Approve the samples under stand lighting and release bulk production
February 2027 Production and branding. Confirm late agency sizes and add spares
By early March 2027 Uniforms delivered, counted and checked against the size list. Leave a buffer for re-dos before build-up

If your show is Intersec (12 January) or another January show

From early November you have roughly nine weeks, with the UAE National Day and New Year holidays falling inside that window. That is realistic for stock-colour garments branded locally. It is tight for anything custom-dyed or shipped from overseas. Pick from stock colours, lock the design quickly and approve the sample without delay.

Also check how Ramadan and Eid fall against your production window when you plan Q1 orders. Reduced working hours can slow production and deliveries. Our lead time guide has a Ramadan planner.

As a general guide, stock garments with embroidery or printing done locally take a few weeks once the artwork is approved. Garments made from scratch, or fabric dyed to your colour in India or China, usually take a few months once you count sampling and shipping. MISHAREN sources through partners in the UAE, India and China, so either route is open. The choice should come from your deadline and how exact the colour needs to be.

Pre-order checklist for exhibition stand uniforms

Copy this into your brief before you ask for quotes:

  • Show names, build-up date and opening date
  • Roles on the stand and headcount per role (permanent vs agency staff)
  • Garment per role (for example polo shirts for sales and hosts, tees for crew, aprons for demos)
  • Fabric preference: performance, blend or cotton
  • Garment colour: stock nearest-match or custom-dyed to Pantone
  • Logo files in vector format, with Pantone references
  • Branding positions and approximate sizes: chest, back, sleeve
  • Names: embroidered (permanent staff) or badges (agency staff)
  • Size list, men's and women's fits, plus 5–10% spares
  • Quantity per person (one per show day recommended)
  • Delivery address and emirate, and whether items should be packed per person
  • Whether the kit must also work for later shows in 2027

Common mistakes to avoid

  • Choosing uniforms after the stand is designed. Pick shirt colours alongside the stand graphics.
  • One shirt per person for a five-day show.
  • Pure white cotton for demonstrators. It shows every mark. Use a darker shirt, or add an apron.
  • Show dates printed on staff kit. That makes it single-use. Keep it evergreen.
  • No women's fit. A unisex boxy polo rarely looks right on everyone. Most polo ranges come in both cuts.

FAQs 5 questions

Questions about this topic.

Should exhibition stand staff wear the same colour as the booth?

Usually not. Staff dressed in the exact colour of the stand walls blend into the background. Wear your strongest brand colour on a neutral stand, and a neutral such as navy, charcoal or white on a stand that is already saturated in the brand colour.

Can I get stand uniforms made in time for a show that starts in three or four weeks?

Often yes, if you choose stock garment colours and accept local embroidery or printing, approve the artwork quickly and keep the design simple. Custom-dyed colours and overseas production are not realistic at that notice.

Is embroidery or printing better for exhibition polos?

Use both. Embroidery on the left chest looks smart up close and lasts. A large back logo is usually printed, by screen printing for bigger runs or DTF for small runs and full-colour artwork, because it is lighter and more flexible than a big embroidered panel.

What should hosts hired through an agency wear?

Give them the same polo as your own team so the stand looks consistent, but use printed or magnetic name badges instead of embroidered names, because agency staff are often confirmed late. Order 5–10% spare shirts in the middle sizes to cover late changes.

Can the same uniforms be reused at several shows?

Yes, if you keep show names and dates off the garments. A uniform that carries only your brand can be worn at January, March and autumn shows. Put show-specific designs on giveaways instead.
